Sault Ste. Marie Public Library

NEW ILS

The Library will be transitioning to a new Integrated Library System (ILS), moving from our current TLC system to Symphony, an ILS developed by SirsiDynix. An ILS is the behind-the-scenes software that libraries use to manage collections, patron accounts, checkouts, holds, and many of the online services our community relies on every day. This upgrade will allow us to modernize our systems, improve reliability, and better support the evolving needs of our patrons.

While the change will mostly happen in the background, patrons may notice some temporary service interruptions or minor changes to how they access their accounts during the transition period. We will share advance notice of any expected downtime and provide clear instructions if action is required, such as resetting passwords or reviewing account information. Our goal is to make this change as smooth as possible while positioning the Library to deliver improved services and a better user experience going forward.

Below is a list of some frequently asked questions which we are working hard on answering.

  • When will the change take place?
The transition is planned for starting January 21, 2026 with an official launch date of January 26, 2026. We will provide advance notice of any service disruptions.

  • Why make this change now?
The Library Board first approved the switch in June 2025. Library staff have been working hard since to to implement the new system before the contract for the current system expires February 1, 2026.  The new ILS offers more features, greater cybersecurity, and costs less than the TLC system which was first implemented 15 years ago.

  • Will the Library be closed during the transition?
The Library will remain open; however, some services may be temporarily limited or unavailable during parts of the transition. Between January 21st and January 26th, the Library will be operating in OFFLINE mode which means that books can still be checked out however updating patron records, registering new patrons, renewing materials, and placing holds will be unavailable.

  • Will there be downtime or service interruptions?
Yes, there may be short periods when the catalogue, online accounts, or circulation services are unavailable. We will communicate any expected downtime in advance.

  • Will my library card still work?
Yes. Your library card will continue to work in the new system.

  • Will my account information transfer to the new system?
Yes. Patron account information, including contact details will be securely transferred.

  • What happens to my current checkouts and holds?
Existing checkouts and holds will move to the new system. Some holds may take extra time to appear during the transition.

  • Will I need to reset my password or update my account?
No. All existing account passwords should transfer once the new system is live.

  • Will due dates change?
Due dates will not change because of the system switch.

  • Will fees be affected?
Outstanding fees will carry over to the new system.

  • Will the online catalogue look different?
Yes. Patrons will notice a new look and layout for the online catalogue, along with improved search and account features.

  • I have saved lists. Will these disappear with the transfer?
No. All saved lists of library materials should transfer between the current system to the new one.

  • Will this affect digital resources (eBooks, audiobooks, databases)?
Most digital resources will not be affected, although access may be temporarily interrupted during the transition.

  • How will the Library communicate updates?
Updates will be shared through the Library’s website, social media, and in-branch signage.

  • What should I do if I experience problems with my account after the switch?
Please contact Library staff in person, by phone at 705-759-5231, or by email lib.circ4@cityssm.on.ca , and we will be happy to assist you.

  • Who can I contact for more information?
Visit the Library’s website or speak with any staff member for the latest updates and support.
